Terms and conditions

I want working together to feel easy and clear from the start. Please take a moment to read through these terms before booking. If anything is unclear, feel free to reach out.

1 Payment

Payment for photography services is due upon completion of the session. Final images will only be delivered once payment has been received in full.

All package prices are final and shown in euros. The price includes VAT, with no hidden fees. Any travel fee is agreed and confirmed upfront before booking.

2 Reservation Fee

A fixed reservation fee of €49 is required to secure your date. This fee is non-refundable, but it will be applied toward your total balance. The only exception is if I am unable to attend your wedding, as set out in clause 7.

3 Image Use and Licensing
  • Ownership: I retain full copyright to all images created during your session.
  • Personal use: You are granted personal use rights, including sharing on social media, printing for private use, and personal display.
  • Commercial use: Any commercial use of the images requires my prior written consent.
  • Portfolio and marketing use: If you opt in during booking, I may share selected photos on my website, portfolio, and social media. This consent is separate from the contract and can be withdrawn at any time. See clause 13 for full details.
4 Editing and Delivery
  • Editing: Images will be professionally edited at my discretion, in line with my established style.
  • Retouching: Editing covers colour, tone, and light to match my style. Heavy or extensive retouching, such as reshaping the body, altering facial features, or removing large objects from the scene, is not part of what I deliver.
  • Delivery: Your final edited images will be delivered within 4 weeks of your session.
5 Ceremony Film

Some packages include a ceremony film. This is a simple, static film of your ceremony, recorded from a fixed position and professionally colour graded to match the look of your photos.

The film covers the romantic part: the ceremony, the vows, the rings, and the kiss. It usually ends when the signing and documentation begin, so the paperwork stays out of the memory you keep.

It is not a cinematic production. There are no transitions, visual effects, or multiple camera angles. The film is a calm record of your ceremony, so you can watch it back as it happened.

6 Cancellation and Rescheduling
  • Cancellation window: Cancellations must be made at least 48 hours before the session. The reservation fee is non-refundable when you cancel.
  • Late cancellation: Cancellations made within 48 hours of the session will incur a fee of 50% of the total package price. This reflects the lost booking, preparation time, and the fact that the date can no longer be offered to another couple at short notice.
  • Rescheduling: In the event of illness or genuine emergency, I am happy to find a new date where possible. Rescheduling is subject to availability and must be agreed in writing.
7 If I Can’t Attend

In the rare event that I cannot attend your wedding due to illness, injury, or a genuine emergency, I will do everything I can to arrange a trusted photographer to cover the day on my behalf.

If a suitable replacement cannot be found, or you would prefer not to go ahead with someone else, you will receive a full refund of everything you have paid, including the reservation fee and any travel fee. This is the one situation where the reservation fee is returned, because the booking could not go ahead through no fault of your own.

8 Last-minute Changes

Changes to key booking details (such as the date, time, location, or package) made within 5 days of the wedding are subject to the following:

  • Date change: A change of date within 5 days is treated as a late cancellation. The 50% cancellation fee applies, and a new reservation fee is required to secure the new date.
  • Location or logistics change: If a location change results in additional travel or preparation, any reasonable associated costs will be charged on top of the package price.
  • Package upgrade or downgrade: Upgrades are welcome where availability allows. Downgrades within 5 days are not permitted, as the original package has already been prepared for.
  • General changes: Any other material change to the booking within this window may incur an administration fee of up to 25% of the package price, depending on the nature and impact of the change.

I will always communicate any applicable fees clearly and in advance before confirming a change. These terms exist to protect the time and preparation that goes into every booking.

9 Weather and Unforeseen Circumstances

If the weather turns or something unexpected comes up, I will always try to make the best of the situation on the day. Denmark’s weather can be unpredictable, and I have experience working with it.

Because most couples travel from abroad with fixed departure dates, finding a new date is rarely a realistic option. If a session truly cannot go ahead and rescheduling is not possible, the booking will be treated as a cancellation. Should a new date work for both of us, I am always open to that conversation.

10 Right to Leave the Location

If I feel unsafe, uncomfortable, or poorly treated during a session, I reserve the right to leave without issuing a refund. Where appropriate, I will offer to reschedule.

11 Image Storage
  • Gallery access: Your delivery link will remain active for 14 days after delivery. Please ensure you download and back up your images within this period.
  • Original files: I keep all original files for at least 12 months after delivery. After this period, I cannot guarantee their availability. I strongly recommend storing your own backup copies upon receipt.
12 Backup and Image Safety

Your photographs matter to me, and I look after them carefully. I back up your files to separate storage before any memory card is cleared, and delivered galleries are kept securely.

Photography depends on equipment, and in very rare cases technical failure can happen. In the unlikely event that images are lost or corrupted through equipment failure before delivery, my responsibility is limited to a refund of the fees paid for the affected session. I recommend keeping your own backup of your gallery once you receive it, as set out in clause 11.

13 Data Protection

Photographs of identifiable people are personal data under GDPR. BP Medie ApS is the data controller for all personal data processed in connection with your booking.

If you opt in during booking, I may share selected photos on my website, portfolio, and social media. This consent is voluntary, separate from the contract, and can be withdrawn at any time by contacting privacy@bpmedie.dk. Withdrawal has no effect on your booking or photo delivery.

14 Liability

I am not liable for any damage or injury that occurs during a session, unless directly caused by gross negligence on my part.

15 Overtime

If a session runs beyond the agreed duration, a fee of €119 will apply for each started half hour.

16 Travel Fee

For weddings that require travel outside the local area, a travel fee applies. This fee is confirmed at the time of booking and charged upfront, before the session date. The travel fee is non-refundable, as transport and accommodation are booked in advance.

17 Raw File Delivery

If you would like to receive the unedited original files, this is available at an additional fee of 50% of your package price, with a minimum of €100.

Please read the following carefully before requesting this option:

  • Unedited nature: Raw files are unprocessed source files. They are not finished images and do not represent my work or style in any form.
  • No quality guarantee: I make no guarantees regarding the result of any editing applied to raw files by the client or any third party. Once raw files are delivered, responsibility for the final outcome rests entirely with you.
  • Brand disassociation: Any images edited from raw files may not be presented, shared, published, or attributed in connection with BP Medie’s name, brand, or portfolio in any way. This applies to social media, blogs, review platforms, and any other public or private channel.
  • No revisions: Requests for re-editing or corrections based on client-edited raw files will not be accepted.

I take great care in the editing process and believe it is a meaningful part of what I deliver. Choosing this option means accepting full responsibility for the images and their presentation going forward.

18 Disputes and Governing Law

I always prefer to resolve any concerns through open and honest conversation. If a resolution cannot be reached directly, these terms are governed by Danish law and any dispute will be subject to the jurisdiction of the Danish courts.

19 Right of Withdrawal

Under standard distance-selling rules, consumers normally have a 14-day right of withdrawal. However, under forbrugeraftaleloven § 18, stk. 2, nr. 13 (implementing Article 16(l) of EU Directive 2011/83), this right does not apply to contracts for leisure services where a specific date has been agreed.

Because your booking is tied to a specific wedding date, the 14-day withdrawal right does not apply once the booking is confirmed. Your cancellation rights are set out in clause 6.

20 Complaints

If a concern cannot be resolved directly, you have the right to submit a complaint to the Danish Consumer Complaints Board (Forbrugerklagenævnet), Toldboden 2, 8800 Viborg. Further information is available at forbrug.dk.
